How Lancelot handles your data
Short and to the point: what we ask, why, how long we keep it and what your rights are.
Who is responsible
Lancelot, a private foundation under Belgian law (being established). Contact: hallo@lancelot.ps. Once the foundation exists, its company number and seat will appear here.
What we ask and why
When a community registers: the details of the community, and of the contact person the name, e-mail address, telephone number, identity card number and a photo of the front of that card. Purpose: to establish who speaks on behalf of the community. Lancelot supports communities, not individuals, and needs to know who it is dealing with.
When support is requested: in addition, the project file and the account number to which any support would be paid.
When you use the contact form: your name, e-mail address, optionally your telephone number and the text of your message, in order to answer your question.
What we do not ask
We do not ask for and do not store the national register number. A private foundation may not use that number without an authorisation, and for our purpose it adds nothing beyond the card itself. For the same reason we ask only for the front of the identity card: the national register number is on the back.
Legal basis
The processing serves steps taken before a possible agreement — your registration and any award of support — and the legitimate interest of the foundation in knowing to whom it entrusts its means.
How we store it
The card number, the account number and the photo are stored encrypted; the key is kept outside the database. Only the board can view them in full, and every viewing is recorded. They never appear publicly. The list of recognised communities shows only what the community itself wants to be public.
How long
For a refused or withdrawn registration we delete the card number and the photo within six months of the decision. For a recognised community we keep them as long as the relationship lasts, and thereafter as long as the law requires us to keep records. A photo that arrives via the QR code but never leads to a registration is erased after fifteen minutes.
Your rights
You may request access, correction, erasure, restriction or transfer, and object to the processing. Write to hallo@lancelot.ps. You may also lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, gegevensbeschermingsautoriteit.be.
Cookies and measurement
This website sets no cookies and keeps no visitor statistics. What you fill in goes straight into the foundation’s register.
